What Does “Guest Count” Actually Mean?

One of the most common questions we get during the planning process is simple: Who actually counts toward the guest count?

The short answer is everyone.

Many people naturally think of guest count as simply the number of invitations being mailed out, but at a venue, that number serves a much larger purpose behind the scenes. Guest count helps us prepare the entire event properly so the experience feels comfortable, seamless, and fully supported from beginning to end.

The total count impacts nearly every part of the wedding day. It helps determine food and beverage preparation, table layouts, staffing needs, parking considerations, and even how many security team members need to be onsite throughout the evening. Every detail is planned around making sure the space functions well for the number of people attending.

Children are usually where couples have the most questions. Babies who are not eating are typically not included in the final count. Younger children who may share food, snack lightly, or sit in laps are often counted as either a half guest or full guest depending on your preference and catering plans. We always work through those details with couples individually so the count feels accurate for their event.

Vendors should also be included in your final guest count. While they may not be receiving an invitation, many vendors will require a meal and non-alcoholic beverages during the event. Including photographers, videographers, DJs, planners, and other vendor partners in the count helps ensure catering can prepare appropriately and that everyone onsite is accounted for throughout the day.

At the end of the day, guest count is not about making things complicated or restrictive. It simply allows us to prepare thoughtfully and make sure every person on the property is fully accounted for so the day feels smooth, comfortable, and well cared for for everyone involved.
